Meaning and purpose of a report

A report is a practical document that describes, deals with or analyses a situation so that the reader can take specific action. The report considers whether a problem exists; the conclusion draws together the elements of the problem; and the recommendations present the available options for solving it.

Types of report

Factual report

Gathers information that explains or defines a situation.

Instructional report

Explains a problem and offers a range of solutions.

Persuasive report

Explains a problem and recommends a solution.

Basic principles

1. Accuracy

  • Report factual information and information obtained through the senses.
  • Separate fact from hearsay, opinion and conclusion.
  • Avoid allowing strong feelings to influence the description.
  • Use clear words, avoid unexplained jargon and clarify abbreviations.
  • Proofread and rewrite the report when necessary.

2. Completeness

  • Report all facts discovered during investigation or data collection.
  • Do not omit information merely because it appears irrelevant to the writer.
  • Avoid partially stated facts because they may mislead the reader.
  • Explain missing or incomplete information.
  • Identify possible sources of further information and undeveloped leads.

3. Conciseness

Importance of Backing Up Data

Meaning of data backup

A data backup is the result of copying or archiving files and folders so that they can be restored after data loss. A backup supports recovery after deletion or corruption and recovery of data from an earlier time according to a retention policy.

Why backup is important

The human eraser

A fast computer combined with an unprepared or tired user can destroy much work quickly. A backup can save hours, days or months that would otherwise be spent reconstructing valuable data. Important data should be backed up before major hardware or software changes.

Hard-disk failure

Disk failure is unpredictable and may occur at the worst time. Backup systems provide protection from the loss that follows an unexpected disk failure.

Virus and spyware protection

Malicious programs may cause errors, lockups and data loss. A reliable backup, used with virus-detection software, can restore information from an earlier clean copy.

Freeing disk space

Less-used files can be moved to secondary storage such as tape or DVD. This creates room for new programs and growing data files while keeping archived information accessible.

Meaning of a computer virus

A virus is a man-made program or code loaded onto a computer without the user’s knowledge and run without approval. It attaches itself to a program or file and may spread when a person runs an infected program or shares infected files.

Worm

A worm can travel without human action. It replicates itself, spreads through networks and may consume system memory and network bandwidth until computers or servers stop responding.

Trojan horse

A Trojan horse appears to be useful or legitimate software but causes damage after it is installed or run. It may delete files, destroy information or create a backdoor that exposes confidential information.

Blended threat

A blended threat combines features of viruses, worms, Trojan horses and malicious code. It may use several routes, attack from multiple points and damage several parts of a network at the same time.

Malware or spyware

Time bomb

End-of-Semester Practical Guide

Official structure: one practical examination carries 30%, lasts 2–3 hours, contains a minimum of two questions and assesses eleven Related Tasks.
